<p class="wp-block-paragraph">When we ask a new client about their data protection, the answer we hear most often is, &#8220;Oh, we have backups.&#8221; They&#8217;re usually right. They do have something. What they don&#8217;t have, in most cases, is confidence that those backups will work when the moment comes to use them.</p>

<p class="wp-block-paragraph">That gap, between having a backup and being able to recover, is where we&#8217;ve watched businesses get hurt.</p>

<p class="wp-block-paragraph">The World Your Backup Was Built For</p>

<p class="wp-block-paragraph">Most of the backup systems we inherit from new clients were designed five to ten years ago, for a specific kind of problem: accidental file deletion, a failed hard drive, a corrupted database. Someone deletes a file they need. A server crashes. You restore from backup, lose a few hours of work at most, and move on with your day.</p>

<p class="wp-block-paragraph">Those things still happen, and we still fix them regularly. But they&#8217;re not what keeps us up at night anymore.</p>

<p class="wp-block-paragraph">Ransomware changed the calculus. It doesn&#8217;t delete or corrupt one file; it systematically encrypts everything it can reach across every connected drive, share, and mapped resource on your network. If your backup drive is connected to that network, ransomware will find it. If your cloud backup syncs in real time, the encrypted files overwrite your clean copies before anyone notices. And if your retention window is only 30 days with no active monitoring to catch an intrusion quickly, an attacker can sit inside your systems well past that window before anyone knows they&#8217;re there, leaving no clean data to restore.</p>

<p class="wp-block-paragraph">A backup strategy built for 2015 threats can fail completely against what we&#8217;re seeing in 2026.</p>

<p class="wp-block-paragraph">Why the 3-2-1 Rule Often Falls Short in Practice</p>

<p class="wp-block-paragraph">The 3-2-1 framework has been the gold standard for years, and for good reason: three copies of your data, on two different types of media, with one copy stored off-site and logically isolated from your primary network. That last part matters as much as the geography does. Isolation is what keeps a network-level attack from reaching your last clean copy.</p>

<p class="wp-block-paragraph">Where we see this break down is in the implementation, not the concept. A business has a local backup and a cloud sync, but the sync mirrors in real time, so an infection reaches the cloud copy just as fast as it reaches everything else. Or there&#8217;s an off-site backup that hasn&#8217;t been tested in two years, and nobody can say with certainty whether it would successfully restore. Or the retention window holds 30 days, which assumes a breach gets detected quickly. That assumption only holds if you have active monitoring in place. Without it, a business can go weeks or months without knowing an attacker is inside, and by the time it&#8217;s discovered, the clean data may already be outside that 30-day window.</p>

<p class="wp-block-paragraph">The framework isn&#8217;t the problem. The gap between the framework on paper and what&#8217;s running is.</p>

<p class="wp-block-paragraph">Recovery Time Is the Number That Matters Most</p>

<p class="wp-block-paragraph">Here&#8217;s what we tell every client: having a backup file that exists somewhere is not the same as having a business that can get back up and running. The question we care about isn&#8217;t &#8220;do we have a copy of the data.&#8221; It&#8217;s &#8220;how fast can we get you operational again, and how much will you lose in the meantime.&#8221;</p>

<p class="wp-block-paragraph">That&#8217;s recovery time, and it&#8217;s the single most underestimated variable in most backup conversations. A restore that takes 36 hours can cost a business far more than the ransom itself, in lost revenue, missed deadlines, and staff sitting idle. We&#8217;ve seen companies with technically compliant backups still take days to get functional again, because nobody had walked through what the actual restoration process looks like under pressure.</p>

<p class="wp-block-paragraph">Alongside recovery time, we want to know the recovery point, meaning how much data you&#8217;d lose measured in time. If your last clean snapshot is six hours old, that&#8217;s very different from 24. Both numbers need to be defined in advance, not discovered during an actual incident.</p>

<p class="wp-block-paragraph">Immutable Backups: The Piece Most Systems Are Still Missing</p>

<p class="wp-block-paragraph">This is one of the biggest gaps we find in legacy backup setups. Immutable backups are copies that cannot be altered, encrypted, or deleted, not by an attacker, not even by an administrator, for a defined retention period. Once that data is written, it&#8217;s locked.</p>

<p class="wp-block-paragraph">Ransomware depends on being able to reach and encrypt every copy of your data it can find, including your backups. Immutability removes that option entirely. Even if an attacker gains full administrative access to your network, your immutable backup set stays untouched and recoverable. We consider this non-negotiable for any client handling sensitive data, and increasingly, for any client at all.</p>

<p class="wp-block-paragraph">Integrity Checks and Boot Tests: Proving the Backup Actually Works</p>

<p class="wp-block-paragraph">A backup you haven&#8217;t tested is a theory, not a plan. We&#8217;ve walked into environments where the nightly backup job had been silently failing for months, and nobody knew until the day it mattered.</p>

<p class="wp-block-paragraph">That&#8217;s why we build integrity checks into every backup strategy we put in place, automated verification that confirms the data written matches what should be there. Beyond that, we run boot tests, which means spinning up a backed-up server or system in an isolated environment to confirm it powers on and functions, not just that the files exist. There&#8217;s a real difference between &#8220;the backup completed successfully&#8221; and &#8220;this system will actually come back online if we need it to.&#8221; Boot tests answer the second question, and it&#8217;s the only one that matters in an emergency.</p>

<p class="wp-block-paragraph">What Failure Really Costs</p>

<p class="wp-block-paragraph">This is the number most business owners underestimate or never calculate at all. The ransom demand itself, which many businesses end up paying, averages $150,000 to $300,000 for small and mid-sized companies. That&#8217;s rarely the full cost.</p>

<p class="wp-block-paragraph">Downtime while systems are offline costs thousands of dollars an hour in lost productivity. Recovery labor, whether it&#8217;s your internal team, your MSP, or a specialized incident response firm, gets billed at premium rates during an active emergency. Reputational damage affects client retention and new business conversations for months afterward. And for regulated industries like healthcare, legal, or any business handling sensitive data, there are HIPAA or compliance penalties layered on top of everything else.</p>

<p class="wp-block-paragraph">Industry estimates put the average total cost of a ransomware incident for a small business between $200,000 and $500,000, all factors included. That number tends to catch owners off guard, because they assumed the worst case was paying the ransom and moving on.</p>

<p class="wp-block-paragraph">Backups Are a Component. BCDR Is the Actual Goal.</p>

<p class="wp-block-paragraph">Having a backup is one piece of data protection. <strong>Business Continuity and Disaster Recovery</strong>, BCDR, is the standard we hold our clients to.</p>

<p class="wp-block-paragraph">We ask a different set of questions than &#8220;do we have backups.&#8221; How quickly can operations be restored after an incident. What&#8217;s the recovery time objective, meaning how many hours or days of downtime the business can realistically survive. What&#8217;s the recovery point objective, meaning how much data loss is acceptable, measured in time. And has the recovery process been tested and verified in the last 12 months, not assumed to still work.</p>

<p class="wp-block-paragraph">Once we have honest answers to those questions, we can tell a client exactly where their real risk sits, and we can make informed decisions together about what level of protection fits their business, instead of trusting a setup that was adequate a few years ago and hasn&#8217;t been revisited since.</p>

<p class="wp-block-paragraph">Modern BCDR Doesn&#8217;t Require an Enterprise Budget</p>

<p class="wp-block-paragraph">This is usually where the conversation surprises people. Cloud-integrated BCDR with off-site replication, immutable storage, automated recovery testing, and clearly defined RTOs and RPOs isn&#8217;t enterprise-exclusive technology anymore. The pricing and architecture have matured to the point where a business with 10 to 50 employees can run a genuinely modern data protection strategy without an enterprise-sized budget.</p>

<p class="wp-block-paragraph">The hard part was never the cost. It&#8217;s getting an honest, current assessment of where things stand.</p>

<p class="wp-block-paragraph">Where We&#8217;d Start</p>

<p class="wp-block-paragraph">In short, it prevents a single point of failure from becoming a business-wide problem.</p>

<p class="wp-block-paragraph">Unfortunately, digital landscapes have evolved, and IT threats have evolved along with them.</p>

<p class="wp-block-paragraph">The conversation usually starts when someone pulls up a quote from last fall and asks, &#8220;Can we still get this price?&#8221; The answer is no. And the prices won&#8217;t be coming back down anytime soon.</p>



<p class="wp-block-paragraph">RAM prices have jumped 50% in the past three months alone, with another 40-50% increase on the horizon for early 2026. A 32GB memory kit that would have cost $100-200 just a few months ago now starts at $350, a jump that pushes past 600% for certain configurations. Enterprise SSDs have climbed more than 250% since mid-2025. Hard drives are up about 35%. And if you&#8217;re pricing new computers from Dell, HP, or Lenovo, expect 15-20% more than you would have paid in late 2025.</p>



<p class="wp-block-paragraph">None of this is normal supply chain disruption. This is something bigger.</p>



<p class="wp-block-paragraph">What&#8217;s Driving the Price Surge?</p>



<p class="wp-block-paragraph">The culprit is straightforward: artificial intelligence is consuming virtually all available supply of high-capacity memory and storage. Manufacturers worldwide are redirecting production away from traditional PC components and toward the high-bandwidth memory that powers AI accelerators. When you&#8217;re competing for chips against data centers training the next generation of AI models, you lose.</p>



<p class="wp-block-paragraph">The U.S. government has only made this more complicated by threatening 100% tariffs on imported memory chips. That adds another layer of uncertainty and potential cost to an already strained market.</p>



<p class="wp-block-paragraph">The Uncomfortable Truth: Waiting Will Cost You More</p>



<p class="wp-block-paragraph">If you think that equipment replacement can wait another year or two until prices stabilize, think again. Your aging hardware isn&#8217;t getting cheaper to replace by delaying. It&#8217;s getting more expensive. And here&#8217;s what makes this a real problem: that 2024 equipment purchase plan you&#8217;re sitting on is obsolete.</p>



<p class="wp-block-paragraph">Memory now accounts for roughly 23% of a new PC&#8217;s bill of materials, up from 16% in 2025. That&#8217;s a meaningful percentage of your total cost. If you&#8217;re replacing five computers, it&#8217;s noticeable. If you&#8217;re refreshing a department, it changes the math significantly.</p>



<p class="wp-block-paragraph">Worse, there&#8217;s no quick resolution. Industry analysts don&#8217;t expect normalization until 2027 or 2028, when new production capacity comes online. The high-capacity memory shortage isn&#8217;t going away next quarter or even next year.</p>



<p class="wp-block-paragraph">What This Means for Your Business</p>



<p class="wp-block-paragraph">This creates a real planning challenge. You&#8217;re trying to manage IT costs while equipment budgets are shifting under your feet. Equipment that&#8217;s already aging isn&#8217;t just becoming a performance issue, it&#8217;s becoming an economic decision point. Running older hardware longer isn&#8217;t free. It costs you in slower employee productivity, increased support tickets, higher failure rates, and vulnerability windows that grow wider as equipment ages.</p>



<p class="wp-block-paragraph">The hard truth is this: delaying the replacement of aging hardware might actually cost you more in total cost of ownership than replacing it now at higher prices. And you can&#8217;t make that decision without understanding what you actually have and what you actually need.</p>



<p class="wp-block-paragraph">What You Can Do About It</p>



<p class="wp-block-paragraph">First, update your assumptions. Equipment pricing from six months ago is no longer your baseline. Get current quotes on what you really need to replace, and make those decisions based on what&#8217;s actually available and what it actually costs right now.</p>



<p class="wp-block-paragraph">Second, prioritize ruthlessly. You probably can&#8217;t replace everything you want to replace. Figure out what&#8217;s truly aging, what&#8217;s critical to operations, and what can wait. Sometimes that means making uncomfortable choices about which systems get refreshed first.</p>



<p class="wp-block-paragraph">Third, think about the total picture, not just the purchase price. An aging PC costs you in wasted employee time, repair calls, and security exposure. A new computer costs more upfront but works faster and more reliably. That math is worth calculating.</p>



<p class="wp-block-paragraph">And finally, get some perspective. This is a legitimate business challenge, but it&#8217;s not a crisis. You still have options. You can plan strategically, make informed choices, and move forward. You just need to plan based on current reality, not on prices from months ago.</p>

Most attempts use a trustworthy email address and format that the recipient will recognize. In the past, HTTPS protocol required certain certificates that protected against these kinds of attacks.
